Terms of Service & Booking Policy

PekingElite

Beijing "Health & Exploration" - 7 Days · 6 Nights

For use together with the final package sheet, itinerary, invoice, and booking confirmation.

By paying a deposit or otherwise confirming a booking with PekingElite, the client agrees to these Terms of Service & Booking Policy. Please read them carefully before making payment.

1. Scope and Role of PekingElite

PekingElite acts as a travel, logistics, translation, coordination, and scheduling facilitator for an integrated medical-checkup and cultural-exploration journey in Beijing. PekingElite is not a hospital, clinic, laboratory, or licensed medical-treatment provider.

All examinations, imaging, laboratory work, and any clinical opinions are performed by independent medical institutions and their licensed professionals. Screening results, translated reports, itinerary notes, and coordinator communications do not constitute diagnosis, treatment, or medical advice.

PekingElite may assist with appointment scheduling, registration support, on-site coordination, report translation, report delivery, hotel arrangements, transportation, and itinerary execution. PekingElite does not guarantee any medical outcome, test result, prognosis, or treatment recommendation.

2. Package Options and Incorporated Documents

PekingElite currently offers the following examination-package categories, each subject to the final package sheet issued to the client:

  • Comprehensive Physical Examination + Cardiovascular Panel: Young & Middle-Aged Male; Young & Middle-Aged Female; Middle-Aged & Older Male; Middle-Aged & Older Female.
  • Comprehensive Physical Examination + Cancer Screening Panel: Male; Female.

The selected package, together with the final package sheet, written itinerary, invoice, and booking confirmation, forms part of these Terms. Age-based variants are determined by the client's age on the scheduled examination date. Any package change requested after written confirmation is subject to hospital availability, revised pricing, and PekingElite's written approval.

3. Service Format and Travel Itinerary

Unless otherwise stated in the booking confirmation, this product is operated as a private or independently booked curated journey rather than a shared cohort tour. Where the booking confirmation identifies a scheduled cohort departure, cohort-specific operational timing, cancellation, and minimum-participant rules apply to that departure.

The standard itinerary is a 7 Days · 6 Nights Beijing "Health & Exploration" journey combining one medical-checkup day with guided cultural and wellness experiences. Daily sequencing may be adjusted for operational, weather, traffic, reservation, or hospital reasons without affecting the core structure of the package.

4. Inclusions and Exclusions

4.1 Included Services

  • The selected examination package as confirmed in the booking confirmation.
  • Appointment coordination, registration support, and on-site medical-day coordination.
  • Accommodation, room category, and number of nights expressly stated in the booking confirmation.
  • Airport, railway-station, and intra-city ground transportation expressly included in the itinerary or booking confirmation.
  • Bilingual coordinator, guide, or concierge support as expressly included.
  • Sightseeing arrangements, standard admission, and scheduled wellness activities only where expressly listed as included in the booking confirmation.
  • English translation and delivery of the final report, subject to Section 10.

4.2 Excluded Items

  • International airfare, domestic air or rail tickets outside the package, visa fees, travel-insurance costs, and passport-related expenses.
  • Lunches, dinners, drinks, room service, minibar, laundry, shopping purchases, tips, gratuities, and other personal spending unless expressly stated otherwise in writing.
  • Medical items, consultations, follow-up tests, treatment, prescriptions, admissions, or specialist services not included in the selected package.
  • Optional upgrades, private requests outside the written itinerary, extra waiting time, and out-of-scope translation, printing, or courier requests.
  • Customs duties, import restrictions, or taxes on goods purchased during the trip.

5. Booking, Deposit, and Payment Terms

A reservation is confirmed only when PekingElite issues a written confirmation after receiving the required deposit. Availability is not held without payment.

Unless otherwise stated in writing, the reservation deposit is non-refundable once paid. If the client later cancels the trip, the deposit will ordinarily remain on the client's account as future booking credit rather than be repaid in cash.

The package price, deposit amount, payment schedule, and accepted currency will be shown on the invoice or payment page. Unless otherwise agreed in writing, the remaining balance must be paid in full no later than 45 calendar days before the scheduled arrival date. An invoice or secure payment link may be sent electronically before that deadline.

If full payment is not received by the applicable deadline, PekingElite may suspend arrangements, release reservations, or cancel the booking. Unless otherwise stated on the invoice, any deposit already paid will remain as a non-cash future booking credit available for a later PekingElite booking, subject to availability, repricing, and written confirmation.

6. Cancellation, Rescheduling, and Client-Initiated Changes

6.1 Cancellation Notices, Refund Timing, and Future-Credit Treatment

All cancellation notices must be submitted in writing to the official support email address or coordinator contact specified in the booking confirmation. The date and time of receipt in Beijing Time (GMT+8) determine the applicable cancellation tier.

Unless otherwise stated in writing, the reservation deposit is non-refundable once paid. Where the client cancels, that deposit will ordinarily remain as future booking credit rather than be repaid in cash.

  • 60 or more days before scheduled arrival: the deposit remains as future booking credit, and 100% of any balance paid above the deposit will be refunded.
  • 30 to 59 days before scheduled arrival: the deposit remains as future booking credit, and 50% of the balance paid will be refunded.
  • Less than 30 days before scheduled arrival, or no-show: no cash refund of the balance is due. The deposit remains non-refundable but will stay on the client's account as non-cash future booking credit, subject to availability and repricing.

Approved refunds will ordinarily be returned to the original payment method within 7 to 14 business days, subject to bank, card-network, or payment-processor timing.

6.2 One-Time Date Change Request

A client may request one direct date change of the active booking, subject to availability, by giving at least 30 calendar days' written notice. If PekingElite approves the change, amounts already paid may be applied to the new date, subject to repricing. Any deposit credit remaining on the client's account may be applied to a future PekingElite booking without a fixed expiry unless otherwise stated in writing.

6.3 Package Changes and Missed Services

Once the package has been confirmed in writing, examination items cannot be freely swapped. Add-on items, deletions, or substitutions are subject to hospital feasibility and price adjustment. No partial refund is due for any included service or examination item missed because of late arrival, non-compliance, refusal, fatigue, scheduling conflict caused by the client, or any contraindication identified on safety grounds.

6.4 Visa Rejection and Travel Documentation

Obtaining a valid visa and all travel documents required for entry into the People's Republic of China remains the client's sole responsibility. If a visa is denied and the client provides official written evidence of that denial at least 30 days before the scheduled arrival date, PekingElite may allow the entire booking value then on account to be transferred to a later date without penalty fees, subject to availability and any unavoidable supplier repricing. If sufficient documentation is not provided, or if the denial arises less than 30 days before arrival, the ordinary cancellation provisions above apply.

7. Operator Changes, Availability, and Reservations

Hospital slots, hotel inventory, transport providers, attraction tickets, and wellness reservations depend on real-name information, supplier acceptance, seasonal demand, and public-resource availability. The client must provide accurate passport information and any requested traveler details by the deadline specified by PekingElite.

Where the booking confirmation identifies a shared cohort departure, PekingElite may require a minimum number of participants for operational viability. If PekingElite cancels that cohort because minimum numbers are not met or because a hospital closure makes operation impracticable, the client will be offered either a free transfer to a later date or a full refund of all amounts paid, including the deposit, with as much advance notice as reasonably practicable and, where possible, at least 45 days before departure.

If PekingElite is unable to operate the package before departure because a core medical or travel component cannot reasonably be secured, it may offer a revised arrangement of equivalent value, an alternative date, or a full refund of amounts paid, including the deposit.

PekingElite may modify daily timings, routes, hotel equivalents, attraction sequence, vehicle assignment, or activity order in order to maintain safety, practicality, and service continuity. Substitutions of broadly comparable standard may be made when necessary.

8. Client Responsibilities and Pre-Examination Compliance

The client is responsible for following all pre-examination instructions and all lawful instructions issued by hospitals, coordinators, guides, hotels, carriers, and attraction operators.

Key examples include fasting where required for 8 to 12 hours before blood work and relevant imaging; removing metal accessories and disclosing relevant implants or medical devices before CT or other imaging examinations; following the hospital's timing and preparation instructions for female gynecologic examinations; and following medication-withdrawal instructions for the 13C Urea Breath Test and any other test as directed by the hospital or coordinator.

The client must disclose relevant medical history, current medications, allergies, pregnancy status, breastfeeding status, recent surgery, mobility limitations, pacemaker or implant status, claustrophobia, and any other information that may affect the safety, timing, or validity of examinations or activities.

8.1 Special Populations and Contraindications

Clients who are pregnant, breastfeeding, actively trying to conceive, immunocompromised, recovering from surgery, or managing unstable symptoms must notify PekingElite in writing before booking. Certain examinations, spa services, or sightseeing activities may be unsuitable, restricted, or omitted on safety grounds. If an item is omitted for safety, no refund is automatically due unless PekingElite agrees otherwise in writing.

8.2 Screening Is Not Diagnosis or Treatment

A health-check package is designed for screening and risk identification only. It does not replace diagnosis, treatment planning, continuity of care, or emergency care in the client's home country. Clients with abnormal findings should seek prompt follow-up with a licensed physician.

9. Travel Services, Accommodation, Activities, and Shopping

The client must provide accurate arrival, departure, and in-China travel details by the requested deadline. Transfer service is provided only for the pickup and drop-off points stated in the booking confirmation. Significant delays, last-minute airport changes, or missed transfers may incur additional charges.

Hotel grade, room category, occupancy basis, and breakfast inclusion, if any, are as stated in the booking confirmation. Early check-in and late check-out are not guaranteed unless specifically purchased. Hotel incidental charges, damage, smoking penalties, and personal consumption are the client's responsibility.

Tai Chi sessions, Great Wall cable-car visits, rickshaw touring, temple visits, reflexology, tuina, spa services, and other cultural or wellness activities are undertaken at the client's own discretion and according to personal physical capability. The client must stop any activity immediately if discomfort arises and must alert staff promptly.

Where a guide assists with translation, bargaining, navigation, or market safety, such support is a convenience service only. PekingElite does not guarantee the authenticity, condition, export compliance, after-sales service, refund rights, or customs outcome of any item purchased by the client.

10. Medical Report Translation and Delivery

Hospital processing times vary by examination type. Unless the hospital advises otherwise, PekingElite aims to deliver the final translated report within 15 business days after the medical examination date.

Report delivery may be completed by one or more of the following methods: in-person handover in Beijing, encrypted electronic transmission, or international courier to the address supplied by the client. The delivery method used will depend on the client's travel plans and operational practicality.

Where hospital review, pathology, external consultation, public holidays, or quality-control checks delay issuance of the final report, delivery timelines will extend accordingly. PekingElite is not liable for delay caused by the hospital or by incomplete client information.

Unless expressly stated otherwise in writing, the English translation is a convenience translation only. The original hospital-language report remains the controlling medical source in the event of discrepancy. The client is responsible for ensuring that the destination email address and mailing address are correct.

Courier charges beyond the standard delivery method included in the package, re-issuance of hard copies, notarisation, or certified translation are chargeable extra services unless expressly included.

11. Emergency, Acute Illness, and Insurance

If the client develops urgent symptoms, an accident, a fall, fever, chest pain, shortness of breath, allergic reaction, or any other acute medical issue during the trip, PekingElite may assist by contacting emergency services, arranging transport, or helping the client access care. However, all medical decisions, treatment consent, hospital bills, and follow-up responsibilities remain with the client.

Comprehensive travel insurance is strongly recommended. The client should obtain insurance that covers at minimum overseas medical treatment, hospitalisation, medical evacuation, repatriation, trip cancellation, interruption, baggage issues, and personal liability. PekingElite is not liable for losses that would ordinarily be covered by insurance.

12. Privacy, Health Data, and Report Handling

To arrange the booking and deliver the services, PekingElite may collect and process the client's passport data, contact details, travel details, selected package, payment records, health-related booking information, and final medical-report materials.

Such information may be used only for purposes reasonably connected to the booking, including hospital registration, hotel reservation, transportation coordination, report translation, report delivery, customer support, payment reconciliation, and legal or compliance recordkeeping.

The client authorises PekingElite to share necessary information with relevant service providers on a need-to-know basis, including hospitals, hotels, drivers, guides, translators, courier providers, and payment processors. PekingElite does not sell medical data for marketing purposes.

The client must provide a secure personal email and accurate mailing details for report delivery. While PekingElite will take reasonable measures to protect data, no electronic transmission or courier route is completely risk free. The client agrees to the use of cross-border transmission where required to deliver reports or travel documents.

The client may request correction of inaccurate personal data held by PekingElite. Records will be retained for a commercially reasonable period for operational, compliance, dispute-resolution, and tax/accounting purposes, after which they may be deleted or anonymised subject to legal requirements.

13. Force Majeure

PekingElite is not liable for failure or delay caused by events beyond its reasonable control, including natural disasters, fire, flood, epidemic or pandemic conditions, war, terrorism, labour disruption, transport suspension, border closure, changes in law, supplier shutdown, public-order restrictions, government directives, or hospital-imposed limitations.

In such cases, PekingElite may reschedule the booking, substitute components where reasonable, or issue a credit or refund at its discretion after considering non-recoverable third-party costs.

14. Governing Terms, Complaints, and Dispute Resolution

The invoice, booking confirmation, package sheet, itinerary, and these Terms should be read together. If there is inconsistency, the invoice and booking confirmation govern commercial specifics, while these Terms govern general rights and responsibilities unless expressly varied in writing.

Complaints should be raised promptly during the trip where possible so that PekingElite has a fair opportunity to resolve the issue. Formal written complaints should be submitted within 14 days after the end of the trip.

These Terms are governed by the law applicable to the contracting entity named in the client's invoice or booking confirmation, except to the extent mandatorily overridden by applicable consumer-protection law. Any dispute not resolved through good-faith negotiation within 30 days may be referred to the court or arbitral forum having jurisdiction over the contracting entity, unless the booking confirmation expressly provides otherwise.

15. Client Acknowledgment

By paying the deposit or otherwise confirming the booking in writing, the client acknowledges that they have read, understood, and agreed to these Terms of Service & Booking Policy, together with the selected package sheet, itinerary, invoice, and booking confirmation.
